The paperwork is provincial. Most software isn't.

There is no such thing as “your incorporation certificate” in Canada. There is an Ontario one, a BC one, a Nova Scotia one, and they are issued by different registries under different names. The single most common reason a file comes back for more is somebody sending the wrong one, and that is a knowledge problem rather than a document problem.

Alberta is the one that catches people out: filings go through private registry agents rather than the province directly, so the papers come back carrying an agent's stamp. That is normal, and we read it as normal.

What we ask a Canadian business for

Not an EIN. Not a state of incorporation. Not a voided US cheque. The file is the one a business here actually has.

Your CRA business number
The nine digits and the program account. It is federal, so it looks the same wherever you trade.
Your provincial incorporation papers
Whatever your registry issues, under whichever name it issues it. Send what you have and we will tell you if it is the wrong one.
Six months of Canadian bank statements
PDFs from your bank, every account the business uses. This is the part underwriters actually read.
The trade registration your province issues
A CVOR in Ontario and the equivalent National Safety Code registration elsewhere. WSIB clearance, or your province's board. A provincial childcare licence with its capacity on the face of it.

Amounts are in Canadian dollars: $5,000 – $2,000,000, depending on the product.

We know what your trade has to hold

Most of what a Canadian business is asked to produce is issued by a province, not by Ottawa — which is why a generic form never asks for it, and why a file without it comes back.

What we are not

Pages like this usually end in a row of registrations and memberships. Ours does not, because we hold none of them, and a brokerage claiming otherwise is the fastest way to lose the argument it was making.
